This is a shared role between two purpose-driven organizations: Bespoke Social Profit Solutions and Partners for Affordable Housing. Together, we collaborate to strengthen Canada’s Social Profit sector and tackle the affordable housing crisis through cross-sector partnerships.

Your Role:
As an Executive Assistant at Bespoke, you’ll provide critical support to four senior executives, enhancing their ability to lead and make strategic decisions. This isn’t just a job—it’s a pivotal role in the backbone of our executive operations. This role requires a compassionate team member who thrives in managing day-to-day operations and administrative activities.

Your responsibilities will include:

  • Master of Triage: Manage scheduling, meeting preparation, travel coordination, and communication for multiple executives in a fast-paced environment.
  • Calendar Management: Maintain and coordinate the executives’ schedules, ensuring optimal use of their time.
  • Communication Expert: Handle communications with eloquence and professionalism across various platforms including emails, phone calls, and in-person interactions with external clients, prospective clients and internal team members.
  • Email Management: Demonstrate expertise in managing and triaging incoming communications and information requests.
  • Technical Proficiency: Utilize advanced tech skills in managing digital documents using SharePoint and Microsoft Teams and updating internal business templates and forms.
  • Meeting Preparation: Crush materials prep for meetings – including minutes, agendas, and related documents.
  • Event Coordination: Plan and coordinate meetings, special projects, and team events.
  • Accounting Support: Contribute to monthly bookkeeping activities.
  • Confidentiality Maintenance: Handle sensitive information with the highest degree of integrity and confidentiality.
  • Backup Support: Provide backup support for the Project Coordinator, ensuring continuity in project management and coordination.
  • Business Development & Customer Relationship Management: Assist in tracking and managing business development efforts and proposal documentation in Salesforce, ensuring timely responses and follow-ups.
  • Ad-Hoc Task Management: Rock ad-hoc tasks related to the business lifecycle and team responsibilities efficiently.

    Required Competencies:
  • 3-5 years’ experience in an Executive Assistant or other relevant administrative support role supporting multiple executive leaders.
  • Technological proficiency with MS Office Suite, SharePoint, Salesforce (or other CRM), scheduling, and survey tools.
  • Familiarity with Customer Relationship Management (CRM) systems, empowering you to streamline processes and optimize business development opportunities.
  • Strong capability in building and leading operations activities and teams.
  • Excellent problem-solving skills and the ability to create streamlined processes and systems.
  • Exceptional communication and interpersonal abilities, enabling you to connect authentically and effectively with clients and colleagues alike.
  • Exceptional multitasking skills, managing multiple tasks and duties simultaneously.
  • Independent motivation, with a proactive approach to taking on responsibilities without direct supervision.
  • Excellent verbal and written communication skills.

    Bonus Competencies:
  • Relevant experience working in a consulting business and familiarity with fundraising for charities and/or working in the non-profit sector are considered assets.
