Your Role: 

As a Marketing and Communications Coordinator, you will play a vital role in supporting the Bespoke leadership team by managing a variety of marketing, communication, document preparation, and event-related tasks. Reporting to the Director of Engagement, this role is perfect for someone who loves keeping projects on track and ensuring everything runs smoothly. 

Key Responsibilities: 

  • Document Preparation: Prepare, edit, and format documents to ensure they meet brand guidelines and maintain the highest standards of quality. 
  • Event Support: Assist in planning and executing events, ensuring every logistical detail is managed to perfection. 
  • Sponsorship Processing and Management: Handle the processing and management of sponsorship agreements, making sure all commitments are fulfilled. 
  • Registration Management: Oversee the registration process for events and activities, providing a seamless experience for participants. 
  • Marketing Collaterals Management (Swag, Print): Manage the production and distribution of marketing materials, including swag and print items, ensuring brand consistency. 
  • Scheduling: Coordinate and manage scheduling for the marketing team, optimizing time management and efficiency. 
  • Project Management Support: Provide essential support for project management tasks, ensuring projects stay on track and meet deadlines. 
  • Team-Wide Proposal Preparation: Assist in preparing proposals for various projects, contributing to the team’s efforts to win new business and expand our impact. 

Required Competencies: 

  • Attention to Detail: Exceptional accuracy in preparing, editing, and formatting documents, ensuring all communications are clear, professional, and polished. 
  • Exceptional Written and Verbal Communication Skills: Proven ability to communicate ideas and information clearly and effectively, both in writing and verbally. This includes crafting well-structured, persuasive documents, presentations, and reports. 
  • Proficiency with Microsoft Suite, OneDrive, and Microsoft Teams: Strong proficiency in Microsoft Office applications, OneDrive for cloud storage and file sharing, and Microsoft Teams for collaboration. Ability to create, edit, and manage documents and effectively coordinate with team members. 
  • Event Planning and Coordination: Demonstrated ability to plan and execute events of various sizes, expertly managing logistics, budgets, and timelines. 
  • Sponsorship Management: Experience in managing sponsorships, including contract negotiation, fulfillment, and relationship management. 
  • Marketing Materials Management: Highly organized with the ability to manage the timely production and distribution of marketing materials. 
  • Project Coordination: Ability to juggle multiple projects simultaneously, ensuring all tasks are completed on time and to a high standard. 
  • Time Management: Excellent time management skills with the ability to prioritize tasks and manage multiple deadlines. 
  • Collaboration: Strong ability to work collaboratively with cross-functional teams, both internally and with external clients. 

Bonus Competencies: 

  • Familiarity with Social Media Content Production and Scheduling: Experience creating and scheduling social media content across various platforms, with an understanding of how to effectively engage different audiences. 
  • Graphic Design: Basic proficiency in graphic design tools like Adobe Photoshop, Illustrator, or Canva to create visually appealing marketing materials. 
  • Photography and Videography Skills: Ability to capture and produce high-quality photos and videos for use in marketing campaigns, events, and other initiatives.
